Privacy Policy

This policy explains how Devi Virdi, trading as Meridian Coaching ("I", "me", "Meridian Coaching"), collects, uses and protects your personal data when you enquire about or take part in coaching. I'm the data controller for the information described here.

Who I am

Meridian Coaching is the trading name of Devi Virdi, an independent executive and leadership coach based in London, UK. You can contact me about anything in this policy at hello@meridiancoaching.co.uk.

What I collect

  • Contact details you give me: name, email address, and phone number where provided.
  • Information you share via enquiry forms, the discovery questionnaire, or in coaching sessions themselves.
  • Notes I take during or after sessions, to support continuity of our work together.
  • Basic technical data, such as pages viewed, if this website ever uses analytics; none is currently active.

Why I collect it

  • To respond to enquiries and arrange discovery calls or sessions.
  • To prepare properly for coaching sessions and track progress against your goals.
  • To send you agreements, invoices and practical information relating to our work together.
  • To meet legal and professional obligations, including those of the EMCC and my supervision practice.

My legal basis for processing this data is either that it's necessary to perform our coaching agreement, or my legitimate interest in running a coaching practice responsibly. Where I rely on consent (for example, using a testimonial), I'll ask for it directly and you can withdraw it at any time.

Confidentiality of coaching content

What's discussed in sessions is confidential. I don't share the content of your sessions with any third party, including an employer or sponsor, without your written consent, except where required by law or where I believe there is a genuine risk of serious harm to you or to someone else. Anonymised themes may occasionally be discussed with my professional supervisor, as required by my coaching accreditation, without identifying you.

How long I keep it

Session notes and related records are kept securely for the duration of our coaching relationship and for a reasonable period afterwards, normally no longer than 12 months, to support any follow-up work, before being securely deleted. Contractual and financial records are kept for as long as UK law requires.

Where it's stored

Your data is stored in secure, access-controlled digital systems. I don't sell, rent or share your personal data with third parties for marketing purposes.

Your rights

Under UK GDPR, you have the right to ask what data I hold about you, to have it corrected, to have it deleted, or to ask me to stop processing it. To exercise any of these rights, email hello@meridiancoaching.co.uk. If you're unhappy with how your data has been handled, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
